Walk into most shops and the “POS system” is either three years old or three times more expensive than it needed to be. Small retailers routinely overpay because vendors sell full enterprise features nobody will ever open.
Here’s what actually matters.
The five features that earn their keep
- Offline-first operation — your register must keep selling when the internet drops. If your POS blanks out on a bad network day, everything else is decoration.
- Sync between cashier and a back office — sales ring at the counter, you see numbers on your phone. This is the feature you’ll use daily.
- Expiry & low-stock alerts — for grocery, convenience, and pharmacy, expired stock is money in the bin. Alerts pay for the whole system in a month.
- Simple inventory counting — the app should make physical stocktaking faster, not slower. Barcode scanning via a plain camera is enough at this scale.
- Export — CSV or Excel exports of sales and stock. You’ll need them for taxes, accountants, and monthly review.
Features you can skip
- Complex multi-warehouse logistics — until you have two warehouses, it’s setup pain with no payoff
- CRM with loyalty points — nice-to-have, not a reason to pay more
- Built-in e-commerce — integrate your store’s marketplace separately
- “AI forecasting” — a spreadsheet with last year’s numbers beats most of these

Many small shops end up with a hybrid: local-first software that syncs to the cloud when connected. That’s usually the sweet spot.
The price sanity check
- 1 store, < 500 SKUs: you should not pay more than $30/month (or about Rp400–500k) for a competent cloud POS
- Everything else is the cloud or support premium
- Free tiers (like some open-source options) are fine if you have one person willing to maintain them
Before you sign
- Try the demo during your busiest hour, offline
- Ask: what happens to my data if I stop paying? — export should never be held hostage
- Check the cheapest plan still includes stock alerts — that’s the feature that matters
